Rally Hosting Guidelines

RALLY HOST GUIDELINES
Remember that you should have as much fun at the Rally as everyone else!
You determine the activities and their times. You can cohost if you would like.
Ask for help!
Don’t hesitate to have people help and coordinate both before and during the Rally.
Remember, the Wagonmaster reserves the campground, but the Host plans the actual Rally.
MEALS - Meals can vary from eating with the group to dinner on your own. Some ideas that have worked in the past are listed below:
Potluck- Assign an item to each coach or announce a ”theme” such as salads, soup/chili, Italian, appetizers, etc.
Contests- Appetizer contests, etc.
Wine and beverage tasting with light hors d’oeuvres.
Everyone brings their own meat to grill and brings a side to share (Need multiple grills or very large grill depending upon number of attendees. Steaks will take longer to grill than burgers and hot dogs so plan to stagger grill time so everyone’s meat is done at about the same time).
Buy the main course from a local restaurant, such as local BBQ.
Eat out as a group at a local restaurant.
Having a “break” night where everyone eats on their own if all right also.
Breakfast is also a good group meal. Can just be Continental. And you set the time! Doesn’t have to be at sunrise.
THINGS TO ACCOMPLISH DURING THE RALLY
Group picture of all attendees. The best time to do this is immediately after an event that all normally attend, such as a meal.
Business meeting. Can be anytime of the day. Usually allow up to 1 hour for meeting.
AGENDA
Create an agenda and distribute (email) to all attendees approximately 3 weeks before Rally begins. The Wagonmaster will be happy to assist with distribution list.
Agenda may be submitted to Jim Bulla (bulla.jim@gmail.com) to be posted to the members only section of our web page. Microsoft Word is the required format.
ACTIVITIES TO CONSIDER
Game night (Bingo, card games, etc.)
Outdoor games (Ladder ball, corn hole, etc.)
Tech discussions
Tour local attractions
Movie night
“Dirty RV” (white elephant) gift exchange
Coach decorating contest- especially if Rally occurs close to a holiday
Note: Any expenses you incur on behalf of the group may be pro-rated per person/coach as a Rally fee.
